When Does a Small Business Need Custom Software?

Most businesses run on a mix of spreadsheets, notebooks, receipt books and WhatsApp groups. That is perfectly fine when you are small. But as you grow, these tools start costing you time and money, often without you noticing.

Signs you have outgrown spreadsheets

  • The same information is typed in several places, such as the sales book, the stock sheet and the accounts, and the numbers never quite match.
  • Only one person knows how things work. When they are away, nobody can find the latest figures.
  • You cannot get a quick answer to simple questions like "how much stock do we have?" or "which customers owe us money?"
  • Mistakes are expensive: double bookings, lost orders, stock that disappears or invoices that are never sent.
  • You are making decisions on gut feeling because pulling together a report takes too long.

Off-the-shelf or custom?

Before building anything, check whether existing software already does the job. Accounting, point-of-sale and email marketing tools, for example, are often best bought rather than built. Ready-made software is usually quicker to start with and cheaper upfront.

Custom software makes sense when:

  • Your process is specific to your business, and ready-made tools force you into workarounds.
  • You are paying for several tools that do not talk to each other.
  • You need to connect systems, such as your website, M-Pesa payments and stock records.
  • Per-user subscription fees are adding up as your team grows.
  • The way you work is part of what makes you better than your competitors.
“ Good software should fit the way your business works, not force your business to fit the software. ”

Examples of what we build

  • Inventory systems that track stock across stores and warn you before items run out.
  • Booking systems for hotels, salons, clinics and tour operators.
  • School management systems for admissions, fees and reports.
  • Dashboards that bring your sales, payments and expenses into one view.

Start small

You do not need to replace everything at once. The most successful projects start with the single process that causes the most pain, solve it well, and grow from there. Book a discovery conversation and we will help you work out whether custom software is the right step, and where to begin.
